Who we are

Wavefield Research Inc. (“Wavefield”, “we”), an Ontario corporation, operates a survey research platform at wavefieldresearch.com. Clients use it to build surveys, collect responses, and analyze results. Questions about this policy: support@wavefieldresearch.com.

Data we process

Account data — name, email address, and a securely hashed password for platform users.

Contact lists — email addresses and, optionally, phone numbers that clients upload to invite their own respondents; clients remain the owners of these lists and we process them only to send the invitations the client requests.

Survey responses — answers respondents submit, together with basic session information (completion time, language) used for data-quality checks.

Usage data — server logs and error reports used to keep the service running and secure.

Respondents

If you received a survey invitation, it was sent on behalf of the client running that study. Your answers are reported to that client, typically in aggregate. Invitation links are single-use and unique to you. You can stop participating at any time by closing the survey; partial answers may be retained for data-quality purposes but are excluded from completed results.

Email and SMS communications

Survey invitations are sent by email and, where a client requests it, by SMS text message. Clients must confirm that the people on an uploaded contact list have consented to be contacted about research. For SMS: message and data rates may apply; message frequency varies by study (typically one invitation and up to two reminders). Reply STOP to any Wavefield SMS to opt out — opt-outs take effect immediately and are recorded so you are not messaged again. Reply HELP or write to support@wavefieldresearch.com for assistance. We never sell contact information, and we do not use one client's contact lists for any other client or purpose.

Service providers

We use a small number of subprocessors to run the platform: Vercel (hosting), Neon (database), Anthropic (AI survey generation and analysis), Resend (email delivery), Twilio (SMS delivery), and Sentry (error monitoring). Each receives only the data needed for its function.

Retention and deletion

Survey data is retained while the owning client's account is active, so trackers and historical comparisons keep working. Clients can permanently delete surveys, individual responses, and uploaded contacts at any time from the platform, and can request full account deletion by writing to support@wavefieldresearch.com. We honor deletion requests within 30 days.

Security

All traffic is encrypted in transit (TLS). Passwords are stored only as salted hashes. Respondent links are single-use tokens. Access to production data is limited to the operator of the service.
